Privacy Policy

1. Controller

This Privacy Policy applies to the processing of personal data by Navigation Repair Service BV (“NRS”, “we”). Privacy questions? Email privacy@navigationrepair.expert. We have not appointed a Data Protection Officer (DPO).

2. What personal data do we process?

• Identification & contact: name, address, email, phone.
• Vehicle/MCU: make/model, year, license plate, VIN, region (EU/NAR/JP/CN), MCU type (1/2/3/4), part/software/hardware/serial numbers, error codes, diagnostic logs, photos/attachments you upload.
• Communication: messages, status emails, quotes/work orders.
• Administration: invoicing and payment data (VAT no. for business).
• Technical: IP address, browser/device info, cookie IDs, server logs.

We do not process special categories and do not target children (<16).

3. Purposes and legal bases

1. Contract performance (Art. 6(1)(b) GDPR): quote, planning, repair, retrofit, (de)installation, certificate/data recovery, logistics.
2. Legal obligation (Art. 6(1)(c)): tax retention, accounting.
3. Legitimate interests (Art. 6(1)(f)): customer service & status updates, security/abuse prevention, quality improvement.
4. Consent (Art. 6(1)(a)): newsletter and non-essential cookies/analytics (withdrawable at any time).

4. Recipients and (sub-)processors

We share data only where necessary with: hosting/IT providers (website, RMS/CRM, email/SMS, backups), payment and accounting partners, logistics, diagnostic/parts suppliers, legal/tax advisors. We sign data processing agreements (Art. 28 GDPR) with processors. We do not sell data.

5. Transfers outside the EEA

For transfers outside the EEA, we ensure appropriate safeguards such as EU Standard Contractual Clauses (SCCs) and supplementary measures. Information on these safeguards is available upon request.

6. Retention periods

• Contract/repair file: warranty period + 1 year (longer if required for disputes/claims).
• Administration/invoices: 7 years (tax law).
• Contact/quote (no customer): 24 months.
• Support/status communications: 36 months.
• Server logs: 90 days (longer if needed for security investigations).

7. Your rights

You have the right of access, rectification, erasure, restriction, data portability and objection (notably against direct marketing). Where processing is based on consent, you may withdraw it at any time. Send your request to privacy@navigationrepair.expert. We may ask you to verify your identity. You will usually receive a response within 1 month. You can also lodge a complaint with the Dutch DPA (autoriteitpersoonsgegevens.nl).

8. Security

We implement appropriate technical and organisational measures, including TLS/HTTPS, access control, encryption where appropriate, logging/monitoring, backups/patching, processor vetting and DPIAs where needed. No system is 100% secure; in case of a breach we follow legal notification duties.

9. Cookies and similar technologies

We use functional cookies (e.g., session/CSRF). For analytics and marketing cookies we ask for consent via the cookie banner. You can change your preferences in the cookie settings. See our cookie policy for details.

10. Communications & marketing

Status emails about your job are part of our service. Newsletters/marketing are sent only with consent or to existing customers for similar services (with an easy opt-out in each email).

11. Automated decision-making

We do not engage in automated decision-making producing legal effects. Should this change, we will explain the logic and consequences.

12. Third-party links

Our site may contain links to third-party services. We are not responsible for their privacy practices; please consult their policies.

13. Changes

We may update this notice. The most recent version is available on our website. For material changes we will inform you where appropriate.
